What's the first thing you check when a user can't log in?

Answer

Whether the error happens on entering credentials, right after, or before the page even loads, because those point at completely different layers — a typo or reset issue, a session or 2FA problem, or a broader outage. Check whether it's one user or many, since a single account points at the account and a cluster points at your service. Only after narrowing that down do you look at account status, password state, or server logs.

What does a 404 error mean to a customer, in plain language?

Answer

The page or resource they asked for doesn't exist at that address — it was moved, deleted, or the link they used was wrong. It's worth checking whether it's a broken link you can fix, a resource that was legitimately removed, or a URL the customer mistyped, because the fix and the explanation are different in each case.

A customer says "the app is slow." What questions do you ask before doing anything else?

Answer

When it started, whether it's constant or happens at specific moments, whether it's one action or everything, and whether it happens on other devices or networks. "Slow" can mean a five-second page load, a spinner that never finishes, or genuinely normal performance that just feels slow to that user — and each needs a different next step.

What is a knowledge base article, and when should you write one instead of just answering the ticket?

Answer

It's a self-serve answer to a question customers ask repeatedly, written so someone can solve their own problem without opening a ticket. If you've answered a near-identical question three or more times, it's worth writing up, because every future customer who finds it deflects a ticket instead of creating one.

How do you decide when to escalate a ticket instead of trying to solve it yourself?

Answer

When it requires access, code changes, or knowledge you don't have — for example a data correction only engineering can run, or a bug that needs a real fix rather than a workaround. Escalate with everything you've already gathered attached, not just "please help," so the next person doesn't have to start over.

What tone do you use in a written support reply, and what should you avoid?

Answer

Clear, direct, and warm without being falsely cheerful — say what you found, what you're doing about it, and when they'll hear back. Avoid hedging language that sounds like you don't believe your own answer, and avoid jargon the customer never used themselves; mirror their vocabulary instead of correcting it mid-ticket.
